In Recruit, you can easily manage your list of candidates. You and the other members of the recruitment board can rank candidates and write notes next to a certain candidate. It also makes it easy to send responses to many candidates at once.
This article provides a step-by-step guide on how to sort candidates.
Ranking candidates
- In order to get a clear overview of the incoming candidates, a good place to start is to give them a score or ranking. To rank a candidate, go to the Applications tab.
- Click on a job ad.
- In the Score column, you can give each candidate a star rating by clicking on the number of stars. You can also see here how many stars other members of the recruitment committee have given each candidates.
- If you want to change your star-rating from, for example, four to three stars, simply click on the three stars and the score will change immediately.
Adding notes
- It is also possible to add a note to a candidate. Click on a candidate to enter their profile.
- Click in the text field under Notes to write a note and press Save note when you're done. The system automatically keeps track of the date as well as who wrote the note.
- Before saving, you can choose whether the note should be visible to anyone who can access the candidate, or whether it should be a Private note meaning only you can see it.
Responding to candidates
- Once you have assessed all your candidates and decided who is moving forward and not moving forward in the recruitment process, you can send replies to multiple candidates at once. You do this by selecting the candidates in the candidate list.
- To make the overview easier, you can filter by status, for example to only show candidates with the status Invite - 1st interview. Then, you can click on the list icon on the top left and click Select All.

- Once you have selected the candidates, go to the menu at the bottom of the page and click on Send reply.
- Click on the drop-down list under the heading Template and select an appropriate email template. You can modify the email if necessary.
- When you're happy with the email, click on Submit. The variables are automatically filled in with the relevant information from the candidate's application, the job ad and the selected sender.
- After sending the response, you will notice that the status of these candidates has changed automatically on the overview list of candidates.
If you send a rejection to candidates, their status changes to Archived. They will then only show in the list if you check the box Show archived applications.
You can customise this yourself in Settings > Status labels.
The status labels can only be seen by you internally in the system. The candidate cannot see what status they have been given.
